The landscape

Why Zoho One is winning the services-company tech stack.

The US mid-market has spent a decade stitching together Salesforce, Zendesk, QuickBooks, BambooHR, Asana, Mailchimp, a BI tool, and a pile of Zapier glue. Costs more than planned, needs three admins, scatters customer records across seven systems.

Zoho One collapses that stack, 45+ apps on one data model at $37-45/user/month. CRM records flow into Desk tickets and Books invoices without integration glue. For services companies with 25-500 employees the math works, and operational clarity is often worth more than the license savings.

How we deploy Zoho One

Phased rollout over 12-24 weeks.

We don't turn on 45 apps on day one. We anchor on 3-5 apps, run to go-live, then expand in phases.

  1. 01

    Platform discovery

2-3 weeks mapping current tools, consolidation targets, and Phase 1 apps. Output: written rollout plan.

  2. 02

    Phase 1 anchor apps

Usually CRM plus one or two of Desk, Books, People, Projects. Deploy end-to-end before adding anything else.

  3. 03

    Phase 2 expansion

Typically Campaigns, Analytics, and supporting apps. Users are confident in the core; data model is delivering value.

  4. 04

    Phase 3 Creator and automation

Custom Creator apps and cross-app automation for use cases standard Zoho doesn't cover.

  5. 05

    Ongoing optimization

Quarterly reviews to retire unused apps and consolidate workflows. Benefits compound when the estate stays clean.

Platform comparison

Zoho One vs. the usual US stack.

, Honest fit

When Zoho One is the right platform choice.

Zoho One fits

  • Services, consulting, agency, or lean operations with 25-500 employees
  • Organizations tired of maintaining 7+ point tools and integration glue
  • Teams paying Salesforce Enterprise pricing for features they don't use
  • Companies where CRM, support, and billing need a unified customer record
  • Operations that need custom apps (Creator) alongside standard CRM and Books

Zoho One probably isn't the fit

  • Enterprise-scale manufacturing or multi-entity finance consolidation, a full enterprise ERP is the better fit
  • Organizations already deep in Salesforce AppExchange dependencies
  • Specialist verticals with dominant industry-specific platforms (e.g., Clio for law, Epic for healthcare)
  • Companies that need FedRAMP-authorized core systems
, Our methodology

How we deliver Zoho, structured, rehearsed, rollback-tested.

Every Zoho engagement we take on runs through the same seven-phase delivery methodology, structured discovery, parallel configuration and data migration, rehearsed cutovers with tested rollback paths, role-based training, and 4-8 week hypercare. The same delivery discipline our enterprise ERP practice runs on, applied to the Zoho stack.

, Questions

Zoho One, common questions.

What apps are included in Zoho One?
Zoho One bundles 45+ apps covering sales (CRM, SalesIQ, Bookings, CPQ), support (Desk, Assist), finance (Books, Invoice, Expense, Inventory, Subscriptions, Billing), HR (People, Recruit, Payroll, US payroll available), marketing (Campaigns, Social, Marketing Automation, Survey, Forms), productivity (Projects, Sprints, Workplace, Mail, Writer, Sheet, Show), analytics, and Creator for low-code custom apps. New apps get added to Zoho One over time at no extra cost.
Do we have to use every app?
No, and we advise against it. Successful Zoho One deployments anchor on 3-5 apps and expand from there. The value of the platform is that the apps you choose to use share a single data model and customer record, not that you're using all 45 on day one.
Can Zoho One replace Salesforce?
For most US services companies with 25-500 employees, yes, at a fraction of the cost. For Salesforce-anchored enterprises with deep AppExchange dependencies, specialist CPQ setups, or heavy marketing cloud usage, migration is more involved. We scope a proper discovery before recommending the move. If Salesforce is the right call we'll say so.
How long does a Zoho One rollout take?
Phase 1 (anchor 3-5 apps): 8-16 weeks end-to-end. Phase 2 and 3 (expansion, Creator apps, ongoing optimization): rolling 12-24 weeks depending on scope. Organizations that want a one-shot deployment of everything at once are usually better served by a phased approach, we'll push back on the all-at-once request.
Is our data safe in Zoho One?
Zoho Corporation is ISO 27001, ISO 27017, ISO 27018, and SOC 2 Type II certified. US data residency is available on request. For HIPAA or other US regulatory requirements Zoho offers BAAs and specific compliance configurations, scope in discovery. We configure Zoho One with role-based access control, SSO via SAML, and audit logging as part of standard implementation.
